As the COVID situation is regulated differently in different countries, the ESAVS will stay with its current requirements regarding the Hygiene Rules described in our Declaration of Compliance. Our rules require all participants to present a negative PCR test result before entering the course. The test must be conducted no earlier than 48 hours before course start. Participants arriving without a result will not be allowed to enter the course until a negative PCR result is presented. Any participant that receives a positive test result from either a PCR test or a quick test conducted before or during the course will be denied entry into the course. In special circumstances we may be able to set up online participation for those who have tested positive for COVID.

 Contrary to the beginning of the pandemic, many more insurance companies are now covering all related risks concerning possible infection with coronavirus, therefore we strongly advise you to obtain a comprehensive travel insurance policy. No refund on our side can be granted if you cannot participate due to COVID or any other reason because all investments have already been made to organize the course by the beginning of the event.  Local organizations (restaurants, caterers) have also prepared orders and billed ESAVS in advance. We thank you for your understanding.

We plan and organize our courses as residential events adjusting to and closely following the rules of the host country at the time of planning. While doing this, we will carefully adapt according to changing situations and make sure that you, as participants, as well as course masters or co-operation partners, will have the best possible coverage in terms of health, safety and disease prevention.


Individual concept

ESAVS has carefully looked at the scientific evaluation about risks of disease transmission. Locally we will strictly follow the rules for distancing, disinfection and vaccine / recovery / test status. We have established our own special hygiene plan to give all of us, participants, course masters as well as co-operation partners, the best possible security in terms of prevention of possible transmission. We want all of you to feel safe, have a wonderful learning experience, and travel home without doubts about health risks. Thus, we will provide you with our special housekeeping rules as well as a complimentary hygiene package (disinfectant, FFP2 masks, antigen tests for each day of the course) to make sure there will be no lack of hygienic supplies.


For any courses organized by ESAVS starting from November 2021, we will ask you to provide proof of vaccination against Covid-19, or medical proof of recovery and a current health certificate stating a negative Covid-19 PCR test in order to participate.

Regrettably, without the above requirements, border-crossing travels may not be possible, or venues where ESAVS is holding its courses will not admit our attendees to their premises (lecture rooms, labs, restaurants).

ESAVS Hygiene plan at courses

ESAVS understands that distancing, hand hygiene and masks whenever distance cannot be kept are crucial to prevent infections. Thus, ESAVS will provide a hygiene kit to each participant that will contain an alcohol-based hand sanitizer, a set of masks and antigen tests.

We ask you to:

1. Always maintain a distance of at least 1.5 meters from all other people.

2. Wash your hands for at least 30 seconds frequently with soap and water or use an alcohol-based hand sanitizer when hand washing is not possible. Hands should be washed:

  • Before and after eating
  • Before and after touching your face
  • After using the toilet
  • Before and after touching your face mask
  • After blowing your nose, coughing or sneezing

3. Wear masks when 1.5m cannot be maintained to help contain the spread of exhaled droplets. If you must cough or sneeze, do so in the crook of your elbow or a tissue. Dispose of any tissues immediately after use and wash hands thoroughly.

4. Stay home if you experience any symptoms of illness including cough, fever, headache, etc.

5. Avoid touching eyes, nose and mouth as this can spread infection.

6. Wear all provided personal protective equipment (PPE) including facemasks, disposable gowns, etc.

7. I agree to be tested for COVID-19 before, during, and at the end of the course. If ESAVS deems it necessary, I agree to be tested daily during the course.


What if there is a mandatory quarantine in the host country for my course?
If, 6 weeks before the start of the course, there is a quarantine for entry, then we will cancel the course. This will be handled free of charge for the participant.
How do I get tested for the course?

For all courses with residential participation, a proof of a negative COVID-19 PCR test is necessary. In order to comply, please be present at the course early enough to present it upon request before entering the lecture / wetlab room.

Please note, to ensure participant safety ESAVS will perform at no additional costs, antigen tests.

What if I/my partner/my close relative belong to a risk group and I am afraid to travel?
In case of any uncertainty, you should refrain from joining the course. ESAVS fully understands and will refund your payment if you are within the 6-week cancellation period (in urgent cases, a decision will be made individually, please contact our office).
I will be placed in quarantine on my return to my country. What should I do?

In this case, you will need to make a decision based on your own special circumstances. If you are not able to work in a home office upon your return, you must decide whether a course at a later date would be more appropriate for you.

In some cases, the PCR test for travelers is required by authorities in order to avoid quarantine. 

How do you assess the risk of participating in the course?
We have a comprehensive hygiene plan in place (please refer to the section above). For all courses, we encourage participants to have a COVID-19 PCR test prior to the event. We hope this will help to assess the risk when coming back home. In addition, we also provide antigen tests on a daily basis.
