The European School for Advanced Veterinary Studies (ESAVS) makes every effort to protect your privacy. The ESAVS is processing personal data in accordance with the General Data Protection Regulation (GDPR, 25th May 2018).

The ESAVS is comprised of a number of structures, units and activities, all of which may have individual representation on this website.

 

1. Terminology

  • “Personal data” means any information concerning the personal or material circumstances of an identified or identifiable individual, including, in particular, the name and address as well as user name, password and IP address..
  • “Collection” of data means the acquisition of data.
  • “Processing” means the storage, modification, transfer, blocking and erasure of data.
  • The term “use” means any further utilisation other than processing.

2. Collection and processing of data

a) Contractual relationship
Within the scope of establishing the contractual relationship, only the personal data required for the settlement of the contract will be collected and processed on an obligatory basis. If you provide any further information, it is disclosed voluntarily.

b) Information supply, providing services and access grant
In addition to communication related to contractual relationship, you may order further information related to your professional development with the ESAVS, request further services or ask for access to restricted areas. This means that you may order our Annual Information Brochure (in print and/or in digital format), information on training programs in disciplines of your interest, and/or Master and/or Certificate Programs, you may also order proceedings or course notes. For this purpose the ESAVS will collect and store information on your interest areas (medical disciplines, species, your current degree, attended courses with the ESAVS or other providers). The information that we collect is always intended for a specific purpose. The ESAVS does not collect more information than is necessary for that purpose. You may discontinue your interest in this service at any time.

c) Newsletter
If you subscribe to the Newsletter, it is required to collect and process your email address to be able to complete this order. It is not necessary to provide any further personal data in order to subscribe to the Newsletter.
You can unsubscribe from the newsletter at any time by clicking on the link provided at the end of each Newsletter or by submitting a request via email to info@esavs.eu

d) Information distributed or visible during events onsite
Course masters, speakers, ESAVS representatives and attendees will have to reveal some of the personal details (first name, last name, country of origin) to the event participants on site. ESAVS does not allow participation to its courses incognito.
In addition, course masters, speakers and instructors will be requested to share some information on their profiles (like short CVs, photos or work address) with the ESAVS community (via ESAVS website, Facebook, Newsletter, Info Brochure, Flyers, Mailings, Course Notes and other media). The scope of the information presented via ESAVS lies at the discretion of the course masters, speakers and instructors, however some standards, as defined in contracts, have to be complied with.

e) Contact form
If you send in any enquires via the contact form, we store the information you submit in the enquiry form including the contact data you indicate there to process your query as well as for follow-up questions. Please note in order to be able to answer your enquires or comply to your request we may link the information from your e-mails or contact forms to your personal data in our system.

f) Cookies
This website collects and stores data for marketing and optimisation purposes. This data is used to create user profiles under a pseudonym. To do so, cookies may be used. Cookies are small text files which are locally stored in the buffer of the website visitor’s internet browser. Cookies facilitate the recognition of the internet browser. The data thus collected will not be used to identify the visitor to this website personally and will not be merged with the personal data about the bearer of the pseudonym without the express permission of the respective individual.

g) Google Analytics
This website uses Google Analytics, a web analytics service provided by Google Inc. (“Google”). Google Analytics uses so-called “cookies”, text files which are stored on your computer and enable the analysis of your use of this website. The information generated by these cookies about your use of this website is usually transmitted to a Google server in the USA and stored there. As we have activated IP anonymisation on this website, your IP address will be truncated in advance by Google within the member states of the European Union and in other countries that have signed the treaty on the European Economic Area. i) Photos and Videos
ESAVS reserves the right to use any photos and videos taken at any of the ESAVS events, without the expressed written permission of those included within the photos / videos. ESAVS may use the photos and videos in publications or other media material produced, used or contracted by ESAVS including but not limited to: flyers, brochures, newsletters invitations, magazines, websites, social networking sites etc.

Attendees who do not wish for their image to be recorded should notify the ESAVS office in writing prior to the event and announce their will of not being included in any pictures or videos to the person in charge of the event (Course masters or ESAVS employee) onsite.

j) External websites and links
ESAVS website contains links to external websites not owned by, or officially affiliated with ESAVS.
If you access any third-party link, you will leave the ESAVS website. ESAVS is not responsible for the content and does not control the third-party websites or their privacy practices which may differ from ESAVS practices. The ESAVS website may also contain third-party advertisements which contain embedded hyperlinks to websites operated by third parties. The third-party advertiser is solely responsible for any representations or offers made by it and displayed on the ESAVS website. The personal data you choose to provide, or information that is collected by these outside websites, is not covered by the ESAVS Privacy Statement. We encourage you to review the privacy policy of any organization and their websites before submitting your personal information.
The ESAVS reserves the right at any time to inhibit or prohibit the third-party content from being published or accessed on the ESAVS website.

3. Use and disclosure of personal data

a) Internal use
Personal data supplied by you is used for processing and fulfilment of the contract as well as for technical administration, marketing and statistical evaluation.

b) Disclosure of personal data
Personal data will only be transmitted or otherwise transferred to third parties as is necessary for the purpose of fulfilling the contract, for operational and security reasons, for accounting purposes or if you have given prior consent.

c) Further disclosure
Other than that, data is only disclosed in compliance with the legal data protection regulations or upon request by government agencies, courts and fiscal authorities or in connection with claims asserted by a third party because of a possible violation of proprietary rights (copyrights, trademark rights and other ancillary copyrights) by a proprietor.

4. SSL encryption

This website uses SSL encryption for security reasons and to protect the transmission of sensitive content, such as the requests you send to us as the website operator. You can recognise an encrypted connection by a change in the address line of the browser from “http: //” to “https: //” and the lock symbol in your browser line.

5. Deletion of stored data, information, blocking and revocation, contact

Please note the ESAVS is a continuing professional education institution supporting and facilitating the ongoing pursuit of knowledge in veterinary medicine. The aim and purpose of the ESAVS activities comprise ongoing efforts to encourage its customers and vendors (participants, course masters, speakers, sponsors and other co-operation partners) to ongoing professional development and further education.
We store all personal data submitted by you only as long as needed to fulfil the purposes for which you have given us the data or as long as prescribed by law.

a) Deletion, blocking upon termination of the contractual relationship
Upon termination of the contractual relationship or after terminating any other use, your personal data will be deleted immediately as long as it is no longer required for further processing of contracts or orders. Data will be blocked instead of deleted if the deletion conflicts with legal, statutory or contractual retention periods.

The enquiries and the corresponding data will be automatically archived after elapse of 15 years period from the data consent date. The personal data will be automatically erased at the latest 25 years after receipt.

b) Revocation of consent
You can withdraw your consent to the collection and processing of personal data at any time with effect for the future. To do so, you must submit your request to us in writing:

– Data of participants enrolled to Master or Certificate Programs may be processed to the University of Luxembourg or to examining entity Instruct AG – Only data as necessary to process the enrolment and certification
– Local organizers like hotels, restaurants, venue providers, local representatives – only data as necessary to provide a state-of-the art course infrastructure
